What Is the Ground BidBoard™?

The Ground BidBoard is Kelley’s proprietary web-based carrier acquisition system. It simultaneously sends shipment details alerts to 44,603 email address to trucks and aircraft via seven high-speed modules in 2 minutes and 31 seconds. Carriers see organized, detailed pertanant load information and respond with competitive bids in real time — showing mapped current positions, prices, equipment types, and pickup and delivery ETAs.

In usually 15 to 60 minutes a customer receives organized options: mode of transportation available, pickup and destination ETAs all in one call (typically picking up freight in 30 to 180 minutes from your initial call). Call us and ask to see a video of the BidBoard in action.

Provide pickup/delivery city and zip, freight dimensions and weight, ready time, and deadline. Carrier dispatcher enters the load into the BidBoard system immediately.

Simultaneous Blast of 44,603 emails to Carriers

Seven high-speed muti threaded server sends load details to all qualified carriers in 2 minutes and 31 seconds showing where the shipment originates . Email shows more detail and has a link to the BidBoard. Carrier has their company info filled out and bidboard helps calculate time and mileage to pickup and destination and a map too complement and carrier fills in a few fields presses enter and we see the fastest or cheapest in perfered order, Carrier name, phone, team, and truck type along with link button showing carriers safety, performance ratings and if the link is worth looking at meaning carrier has warnings. Kelley contacts customer with options truck types on ETA’s etc and Customer approves it. Customer receives carrier name and tracking if it is wanted.

BidBoard then combines everything

BidBoard then combines everything about customers information with everything about the carriers info along with what the carrier submitted in detail prior to booking carrier and dumping it into dispatch program.

Kelley Dispatch knows The best verified carrier

Kelley Dispatch knows the best verified carrier based on vetting, current authority insurance and verifies GPS, asks for drivers cell and cell is instantly verified for tacking. Then dispatch books the truck. Kelley dispatch pushes a button and a job in dispatch completely built with ETA’s carrier information and all of the customers information. Dispatch pushes another button and three page with detailed instructions, info with possible financial penalties for not making eta’s, not providing continued GPS, communication not making ETA and price carrier also put in the Bidboard. The automated contract is sent to the carrier via quick email button.
Dispatcher selected the best carrier — not just the lowest price — using vetting data and performance history that you can click on in BidBoard. If carrier doesn’t sign 3 page rate agreement in about 10 minutes dispatch lets the carrier know that another carrier will replace them if not sent back signed in the next few minutes. Options with ETAs are presented to the customer in about 30 to 60 minutes of initial contact with Kelley regarding the shipment and sometimes faster.

Confirmation & GPS Activated Immediately

Customer receives carrier name, vehicle type, pickup ETA, and delivery ETA and a link email of carrier GPS tracking if desired.. Customer books trip and carrier gets called for booking. Carrier signs 3 page detailed instruction contract based information from BidBoard with financial penalties for non compliance. Carrier signs contract usually within 10 minutes and if not carrier gets notified that another carrier will be booked if contract is not signed. After receipt of signature. The Kelley developed Alarm, alerts with preset tracking thresholds is set up with typing 10 characters and a push of the button. Tracking tracks with Kelley built alarms and alerts such as truck stops, goes off track and can’t make ETA. Tracking and everything is all set fast.

Innovation the Industry Said Wouldn’t Work

In 2009 when Kelley deployed its multi-threaded email server for mass carrier notifications, McAfee, Symantec, AOL and eventually declared it would be blocked as spam and couldn’t be done. It wasn’t for sales spam, it was for carriers to make money and customers have faster expedited freight like never before.

It wasn’t. To this day Kelley maintains best email deliverability practices — meaning more carrier options for you on every load and as fast as possible.

Carrier Vetting

We use RMIS Onboarding and after a lot of thought we built a system that requires our dispatch to rate carriers on 10 items, ad notes and a warning that pops up before shipments can be changed into completed status. This information along with the following is available with the following is available on our BidBoard when the carrier bids in the future on it. Two other items that show on our bidboard has a is link to Carrier 411 which has details on negative performances of carriers gathered from brokers. The other link is to the government Safer Web for a quick view of carriers safety record and current authority and insurance. This took about 6 months for our programmers who also dispatch to develop.

What You Receive on Every Shipment and communication flow

  • Carrier name, vehicle type, ETAs at booking. Through out shipment and any significant communications with driver and carrier.
  • Email and phone notifications at all critical milestones
  • Immediate freight photos of BOL from the pickup dock and POD at destination.
  • Proactive notification of any delay — with cause and updated ETAs
  • Proof of delivery photo sent immediately upon arrival
  • Live GPS tracking via programs such as Samsara and/or MacroPoint accessible if customer wants them.
